Paper incident forms and spreadsheet logs cost time at every step: the worker fills in the form, a supervisor reviews it, someone in the office types it up, chases signatures and follows up on the corrective action. That time is real payroll, but it is spread across so many people that nobody adds it up.

The calculator takes the number of reports you handle each month, the total minutes each one costs today, and the minutes it would take with a digital process. It converts the difference to hours and dollars at your loaded hourly rate, subtracts the software subscription, and tells you how many reports a month you need before a tool pays for itself. It puts no value on faster alerts or fewer injuries, only on time.

  1. Count the incident, near-miss and hazard reports your team handles in a typical month.
  2. Time one report end to end with your current process and with a digital form, adding up every person's minutes, and enter both figures.
  3. Enter your blended loaded hourly cost and the monthly subscription to see annual hours saved, net savings and the break-even report volume.

What the math assumes

  • Every report takes the same average number of minutes; use a realistic average across simple and complex reports.
  • Time saved has value only if the freed minutes go to other productive work; the payroll figure is an opportunity value, not cash returned.
  • The hourly rate is a loaded cost including payroll taxes and benefits, blended across everyone who touches a report.
  • Software cost is a flat monthly subscription; setup time, training and any per-site fees should be added to it as extra monthly cost.
  • No value is assigned to faster alert routing, better follow-up on corrective actions or fewer injuries; the result counts time only, so if the digital process takes as long as your current one, hours saved and payroll value are zero, and if it takes longer they turn negative, meaning extra time and cost; in both cases no break-even volume exists because more reports only add cost.

Frequently asked questions

How do I measure the minutes per report honestly?

Follow three recent reports from the moment the worker starts writing to the moment the corrective action is filed, and add up every person's minutes. Do the same with a trial of the digital tool rather than using a vendor's estimate.

Why can the net savings be negative?

If you handle few reports, save only a few minutes on each, or pay a high subscription, the software costs more than the time it frees. The break-even figure shows how many reports a month you would need for the time savings alone to cover the cost. If the digital process is no faster than your current one, hours saved are zero or negative and the tool reports that no break-even volume exists.

Should I include near misses in the report count?

Yes, if you log them today or intend to. Near-miss reports are usually the largest share of volume once workers trust the process, so they drive most of the time cost either way.
